How to make a payslip for your staff

What a payslip should show, from earnings to tax and statutory deductions, and how to create one in minutes for any country.

A payslip shows an employee how their pay was worked out. It builds trust, helps staff apply for loans, rentals or visas, and gives you a record for payroll and tax.

What a payslip should show

  • Company and employee details: name, staff ID, job title, department and pay period.
  • Earnings: basic salary, allowances, overtime and bonuses, and gross pay.
  • Deductions: income tax (PAYE or withholding), the employee's statutory contributions (pension, social security or national insurance, health insurance) and any loan repayments.
  • Net pay: what the employee actually receives, ideally also in words.
  • Payment details: bank name and account number.

Employer contributions, such as the employer's share of pension or social security, are paid on top of salary and aren't deducted from the employee. Many payslips show them for information.

How to make one

  1. Choose your country and enter your business name and logo.
  2. Add the employee's details and the pay period.
  3. Enter the salary and allowances. Tax and statutory deductions are calculated for you.
  4. Download the payslip as a PDF and share it.

Our payslip generator calculates tax and deductions for Nigeria, Ghana, Kenya, South Africa, the UK and the US, and lets you enter your own rates anywhere else. See also: how tax on salary is calculated.
