What to include on an invoice
A checklist of what every professional invoice needs, from invoice number and tax number to VAT and payment details, so you get paid faster.
A clear invoice gets paid faster and keeps your records straight for tax. Whatever your country or industry, include these details.
Invoice checklist
- The word "Invoice" and a unique invoice number, in sequence.
- Invoice date and due date (for example, "due within 14 days").
- Your business details: name, address, phone, email, and your company registration number and tax or VAT number where you have them.
- Your client's details: name, company and address.
- Line items: a description of each product or service, quantity, unit price and line total.
- Subtotal, tax (VAT, GST or sales tax at your country's rate, if you charge it) and total due, in the right currency.
- Payment details: bank name, account name and number (or IBAN and SWIFT for international clients), or a payment link.
- Terms: payment terms, late-payment notes, or a thank-you line.
Tips that get you paid sooner
- Send the invoice as soon as the work is done or the goods are delivered.
- Use your logo and brand colour so the invoice looks professional and is easy to recognise.
- Add a QR code or payment link so clients can pay in one step.
- Keep a copy of every invoice. You'll need them for tax and bookkeeping.
